Hi,
I need to report some actions discussed in a meeting. Could you please correct the following sentences for me ... (please, please):
At the meeting held in the Office XYZ on 5th May, it was discussed that:
1a) the form X would be completed for the following projects: project 1,2,3 (responsible for action: Mr. X; target date: 30th May 2005).
or should I say
1b) the form X is to be completed for the following projects: project 1, .... - the same text as above-
2a) the project managers would verify if form X was missing from any current project folders and if its section B had been completed.
or should I say
2b) the project managers are to verify if form X is missing from any current project folders and if its section B has been completed.
3a) by the time of the health and safety awareness session the "HR" database was being developed, reason why the awareness session was not entered onto the database.
or should I say
3b) by the time of the health and safety awareness session, the "HR" database was being developed, reason why the awareness session had not been entered onto the database.
I´d appreciate any help or suggestions.

Hi ritinha,
First, have a look on your computer prog. and see if you have a "minutes" form. These are the "minutes" (i.e. rocord of or notes from a meeting)
Notes of meeting: Office XYZ, 5 may 2005.
1 Form X will be completed for the following projects:
*project 1,
* 2,
* 3
(responsible for action: Mr. X; target date: 30th May 2005).
2 Project managers will verify that all project folders contain form X, and that section B has been completed.
3. The "HR" database was indevelopment at the time of the health and safety awareness session, and consequently awareness session was not entered onto the database.

Thanks Abbie,
But if I start the notes with the sentence "At the meeting held in the Office XYZ on 5th May, it was discussed that:" can this sentence be followed by the future? (i.e.: Form X will be completed ....; project managers will verify ...)
My problem is that I need to write an email with the actions that came from the meeting. So, I would like to start the "thing" with the sentence referred above or sth similar. But then, I am not sure about the verb tense that should follow it.
I would appreciate if you could help me.
