Following numerous joint site inspections with the client, architect, consultant, and other interested parties, we have been required multiple times by the client to relocate the indoor units in the mock-up flats at each tower.  The access panel is required for the maintenance of the whole indoor units, as we have informed the client during the site inspections.  The exact location of the access panel cannot be determined until the location of the indoor units is settled.

We request that the location of the indoor units be settled and approved so that the location of the access panel may be determined.

Moreover, there are some reinforcement rods of return air grille below the indoor units as a result of our site inspection. Please be informed that the reinforcement rods cannot be allowed to be installed below the indoor unit in order not to hinder/hamper the maintenance of fan motors and blowers.

Give me some comment on grammar and language to become a formal letter......Thanks
