Dear teachers and my fellow friends,

I was required to conduct a meeting. However, this is my first experience to organize it and right now, I’m trying to draft what should I say during the meeting. Do you have any better idea or standard format what should I say during the meeting and how to close it.

Good morning to everyone. First of all, I would like to thanks you guys for your time being in the meeting this morning.

Before I proceed to the next agenda, let me introduce our team, Mr John, Mr Michael and myself, Joe.

As you know, the purpose of this meeting to discuss about our new project, Network Assessment.

The objectives for this project are:

1. Objective 1 

2. Objective 2

3, Objective 3 

Appreciate if the Network Team can explain about the network diagram (how to ask politely other team about explaining something that I don’t understand)

Thank you guys for your attendance. Thank you also for your information and opinion.(ending the meeting)

Hmm…what else guys should I say in this meeting. Anything important that I missed? Thanks.

I would appreciate it if the Network Team can now explain about the network diagram (how to ask politely other team about explaining something that I don’t understand)   OR  The Network Team has produced a network diagram. Would someone from the team explain how it works? [make sure you have arranged this with the team so that they are prepared to do the presentation]

 

That seems to cover all the matters for discussion. Thank you again for attending, and for all your input to the discussions.

 NB If there is to be a follow-up meeting, you need to say so and how long it will be before it takes place, and even to ask for suggested dates.
