Hi Friends,
I want to write an explanation letter to my management as I have done a serious offense. I went to my home early (30 min) when my support time was not even over. I dont have any excuse and I feel guilty and ashamed of myself for doing such a thing. Can you guys please help me in writing an explanation letter ... please help as I am not that good with english and it is very urgent....

Thank you

Best Regards
Vimal
Hi,

I'm sorry that you feel so bad about this. It is certainly not the most serious offence in the world. Is it absolutely necessary that you should write a letter about this? Has management asked you to write, because they know?

Why don't you write something and post it here, and we will quickly help you with comments. I suggest that you keep it short and simple.

Best wishes, Clive

Hi Clive,

I hope you are doing fine.

Thanks a lot!

The management came to know about my early departure and they have asked me to write an explanation letter. The problem I face in writing a letter is that I know what I want to write in my mind but I am having trouble putting it into words ...

anyway I will try to write one and will post it here for your feedback.

Thank you once again for your reply.

Best Regards

THE LETTER

Monday July 10, 2006

Mr. xxxx
Team Leader
XXXX xxxx Pvt Ltd

Dear Mr. xxxx,
The purpose of this is to convey to you my sincere apologies for leaving early during my support time without getting prior permission or notifying the authorities concerned.

What happened that night was when I saw there was only 20 minutes more of support time and no new work updates, I took it for granted and left earlier.

I know that I have done a great injustice to all my colleagues. My personal apology for my team leader Mr. xx and my team members as I have really let them down. I have set a bad example for myself and my team members. I take full resposibilty of the incident and I am sorry.

As is the case I hereby resign from the post of social club in charge and can also consider that day as "loss of pay".

Let me assure you that what happened in my case is not typical of my level of customer service. I will continue to be committed to providing Vanilla and all of our customers with the highest standards of service in the industry as I have always done.

Once again sorry for what has happened.

Yours faithfully
Vimal
For who said that has trouble in putting ideas into words, it's pretty good. It seems to me that you have a lack of confidence, because the text organization aspect you don't have to worry about.
