Hi,

We have a function out here in our localatiy. For this purpose every year we first take permission from the police regarding this function. I was thinking if I would be asked to write a letter to the police for permission, what should I have wrote. I wrote a letter in this connection. Please Check this letter and also suggest me some good vocabularies which I can replace with  my given vocabularies. I will be very greatful to you if you please let me know your valuable suggestions.

Looks good overall but shouldn't you put the actual address instead of just 'our place'?

The second sentence is a bit long.

We hope you will grant us permission to hold this event. We also hope to receive your assistance on the day to ensure that the event is conducted in a safe and trouble-free manner. Thank you.

(Little point about your request. 'Vocabularies' does not mean the same thing as 'words'. Your vocabulary is 'all of the words known and used by you' as an entire group so you can't 'vocabulary' to refer to individual words.)
