How to replace the reporting sentence

1) Would you mind help me check the tense and grammar?

2) I don’t know how to replace the reporting sentence(reported speech)? Such as:  Your staff replied that….., We were also claimed that……

3) Would you mind to correct my informal sentence? I feel some problemsin paragraph but i can't find it.

As client’s requested a particular schedule control of the A/C units should be provided to suit the site condition during the site inspection. We known that the schedule control cannot be performed based on our limited technical knowledge against your company’s product. Therefore, we would like to seek an advance support from your company through telephone contact. Your staff replied that the control had not been provided as it had not been included in the purchase agreement at the time of sale. We were also claimed that the service charge had been waived for that telephone support to us in a very rude manner.

We are shocked by your staff’s attitude during the telephone conversation pertaining to resolve the problem. We feel disappointed to hear your staff waiving telephone service support to us and address client’s request attitude. We are surprised that as “ABC” is one of the leading companies in Hong Kong providing equipment, your lack of professional support and responsibility is not what we expect from a business of your size.

I am not sure if I had looked at this letter from you at another forum. But the content was very similar. 

There were lots of structural and grammatical problems in your letter   Since the sentences were not clear, I can only revise them based on my perception to the context.  You may want to comapre your letter with the revision.  

 

As a consumer of your products, I am requesting that a scheduled maintenance be done on the control of the A/C unit which I purchased from you and believed to have included scheduled on-site inspections. With limited technical knowledge of this product, we can not perform  this scheduled  service. Therefore, we've contacted your company by phone for service support but your staff replied that the control unit service was not included in the purchase agreement at the time of sale. We were also told by your staff that a phone consultation fee would have been charged but it was waived in a rude manner.

We are extremely dismayed by your staff’s attitude during the whole telephone conversation. “ABC” is one of the well-established companies in the A/C industry in Hong Kong.  We expected no less than pure professionalism from a company such as “ABC” and I am looking forward to receiving a satisfactory response from your office.
