I need to write a report to our forwarder regarding the problems that we are facing with him.

I have already make darft below. pls review and advise.

 

Dear Sir,

 

This is ref to delayed/wrong deliveries made by Pro Cargo. Details of the FPO’s are given below.

 

1-       IEL-F-0298-07. Material was wrong shipped to Qatar and also status report showing order is still open. Meanwhile our sale engineer received a call form Qatar stating they receive a package from PC along with IEL order no.

2-       IEL-F-0275-07. On FPO it was clearly written mode of shipment will advise. But we received a material by Air freight form PC. Actually this was a direct delivery to our client in USA. This was not happened first time but we are facing the same problem many times. Same is the case for IEL-F-0349-07.

 

Frequently we received a status reports from PC stating “ON HAND COMPLETE” but we not received the material in the coming console. When we contact PC and ask for explanation why material not shipped than PC informs us that they are waiting documents, SSC/SED from supplier. We have instructed/informed PC many times such information must be pass to us immediately so that we can take up with supplier.

 

For IEL-F-0298-07 PC received a material from Gallop Machines. 6 cartons without documents dated 6 June 07. Supplier confirmed that material from Gallop Machinery belongs to Inter Equipment PO # is IEL-F-0283-07 dated 08 June 07. PC also confirms that they are going to ship the material in coming console but we received the items of another FPO (IEL-F-0158-07) with IEL-F-0283-07 invoice.

 

When we contact supplier regarding the balance order of IEL-F-0298-07, he explain that they have already shipped every thing to PC and PC also claim that they had no more material for IEL-F-0298-07. Meanwhile we request supplier to forward us the delivery proof and PC to check their ware hose once again. 

 

 Finally it was found that PC has 6 cartons from Gallop Machines but without documents. These are the same 6 cartons which was already confirmed by supplier that these are belong to IEL-F-0283-07 DATED 08 JUNE 07 and also PC confirmed the shipment of these cartons.

 

The above problem was mainly due to the in-complete information in the PC status report. Therefore we strongly recommend for the item wise status report from PC.
