Hello,

My boss has asked me to write a formal letter of invitation for six Chinese dignitaries that will be visiting our business next month. It is my understanding that they will all be referenced individually in the same letter. Also, we do not have their individual addresses- it is going through an intermediary (although he is not to be referenced in the letter, so I have no addresses).  I have no problem writing a letter per se. My question is, would you add anything extra because it is a formal invitation to foreign dignitaries?

TIA,
Stacey

Hi,

What do you mean by 'a dignitary'? eg An important businessman with a private company? eg A high government official?

Do the six all have anything in common? Do they work together?

My first thought is that, if they are important people, each should receive his/her own separate letter, addressed by name. The rest of the wording, of course, could be the same.

Hi Clive, originally I was given incomplete information. The letter of invitation is for the purpose of the gentlemen applying for visas to come to the U.S.  The dignitaries are mayors from cities in the region, and there will be leaders from governmental offices as well as business directors.  We have a Chinese business agent, who has directed us to write one letter referencing all invitees. Thank you for your input.

Hi again,

As I said, it seems to me that it would be more polite to write individual letters. However, perhaps your business agent has had previous experience of these matters.

I totally agree! These are the parameters I have been given, I can't deviate from them, so I must figure out the best format for all of those names.  Thanks so much for the input.
