HR Manager,

I am Mr. Ali working as a Tender coordinator in Tender Department for ABC company past 12 years. I am writing this letter to bring to your notice that over the last few months I have been facing the incidences of discrimination by the hands of Mr. ………………who is our supervisor in Tender Department.

Hence we are total five staffs including one supervisor out of that the four should pull equally the daily workload. I believe there is an imbalance of workload between four of us. The procedure followed in Tender Department is not much supportive. My co-workers are not pulling their weight on the job and I don’t think our supervisor notices. There are four of us not providing similar services only two of us doing any actual work. I believe that our supervisor doesn’t allotted big or heavy tasks to my co-workers as he has a family relation with him. Whenever I tried to discuss this issues with my department head, he doesn’t like to listen to me.

Therefore I think that I should talk with you regarding this concern I have with the way our team is working together. I don’t want you to perceive me as being negative or being unsupportive of my co-workers. I know you want us to achieve our department objectives.

Thank you for listening to my concerns regarding our team’s workload and the importance of all of us working toward the department’s objectives.

Thanking You

Your’s faithfully

To: HR Manager,

I am Mr. Ali have been working as a tender coordinator in the Tender Department for ABC company for the past 12 years. I am writing this letter to bring to your notice that over the last few months, I have been facing the incidences of persistent discrimination by at the hands of Mr. ………………who is our supervisor in the Tender Department.

Hence We are a total of five staff members, including one supervisor. out of that Theoretically, the workload should be shared equally between the four staff members. should pull equally the daily workload. I believe However, there is an a clear imbalance of in the way the workload is divided. between four of us. The procedure followed in Tender Department is not much supportive. My co-workers are not pulling their weight on the job, and I don’t think our supervisor notices. There are four of us not providing similar services Only two of us are doing any actual work. I believe that Our supervisor doesn’t allotted big does not allocate any difficult or heavy tasks to my the other two co-workers as he is related to them. has a family relation with him. Whenever I tried to discuss this issue with my department head, he doesn’t like refused to listen to me.

Therefore, I am left with no alternative but to escalate this matter to you think that I should talk with you regarding this as I am highly concerned I have with the way our team is failing to share the workload. working together. I don’t want you to perceive me as being negative or being unsupportive of my co-workers. I know you want us to achieve our department objectives.

I always endeavour to support my colleagues, and I do my utmost for the company, so I trust that you will take the necessary action to ensure the best outcome for all involved.

Thank you for listening to my concerns regarding our team’s workload and the importance of all of us working toward the department’s objectives.

Thank you very much

Appreciated

You may have already sent this letter to your HR department. However, here are some suggestions for the future:

Be clear why you believe things are unfair. For example: You mentioned that the workload “should be shared equally between the four staff members.” Why? Do you all have the same job title? Are you all at the same level/class/seniority? If so, mention that in your description: We are a total of five staff mentions: one supervisor and four Level 3 Tender Clerks.

Provide specific examples, including dates. You mentioned “clear imbalance,” “not pulling their weight,” “does not allocate any difficult or heavy tasks” to the other workers. For example:

  1. On xxx date, our department received xxx. I was assigned x, Mr. X was assigned x, and the other two workers were only assigned x.
  2. What are the difficult assignments and were all four of you available to be assigned? Do you all have the same skill/knowledge so that there is no particular reason (other than favoritism) that you would have these assignments?

In order for the HR Manager to have a productive meeting with your supervisor, the HR Manager needs to have examples—not opinion—that things are unfair. Good luck!

P.S. Check your employee directory and address your letter to a specific individual, not just HR Manager.

Thank you for your kind suggestions.
