Dear teachers,

Please check the content and the format of the email below.

Context is like this. A customer will e mail you stating that finally on 3/09/2012 the set top box has been delivered.
But the set top box has been damaged and light is not working correctly. So I would request you to replace it as soon as possible.
This is the context and they have asked me to apologise the customer and tell the customer that set top box will be replaced shortly and the customer name is J.K Edwards.

Dear J.K Edwards,

I was very sorry to hear that your set top box has been damaged and that the light is not working correctly. We apologise for the inconvenience which cost to you. One of our engineer will call you and get confirmed your convenient time and a new set top box will be replaced shortly.

Thank you,

Why do you need a specific time? Will the engineer deliver it personally? You need to explain this.

Thank you so much for replying to my post Clive.

I need a specific time because the engineer will deliver it personally. If there is no customer at home then waste of going home and again the engineer has to go to replace their set top box. Was email sufficient enough to send it to customer or should add some more points to that email? Please do reply.

Thank you.
Hi,

You need to explain that the engineer will deliver it personally.

Why does it have to be done by an engineer? There is no engineering involved in replacing one box with another.

Thank you for replying to my post Clive.

I am sorry, I was mistaken. It will be delivered by a field executive. Please have a look at the email below and suggest me, whether I should add some more information to it or not.
