Good evening, all.

I think by the time you receive this e-mail it will be an evening for the most of you. I am sending this e-mail to let you know that I am trying to organize a dinner meeting where there will be a sumptuous dinner at my place and an invited speaker, who will be a world-renown expert in our field. It will be a half-day event starting at 3 p.m. and ends on around 7 p.m. on September 15th. To cover the expenses running this event, I am obliged to put up a cover charge of 10,000 won for each person: it will cover the cost of dinner and also, the cost of inviting the speaker to speak for us. If you want to bring your spouse, the same amount has to be paid for your other-half too.

As you know, to get the speaker of this caliber to fly into the country, in addition to paying him an appropriate amont of gratuity, a person usually has to pay his airfare and provide comfortable hotel accommodation. For good news, for those attending, you will have rare opportunity to talk with the speaker after he finishes speaking for a short period of time.

For those who decide to attend, these are recommended:

Please, try to:

1. wear semi-formal attire,

2. arrive in time to help us run the event smoothly,

3. bring no child along (If you have to, please let me know in advance so I can arrange suitable accommodation).

If any of you are interested, please deposit 10,000 won by September 1st via a bank transfer. After you have sent the required sum, please write me an e-mail to confirm your transfer. Once I have your confirmation-request e-mail, I will send you more information.

I hope many of you will decide to attend.

Best wishes,

Believer

Here's how I'd write it. Note that there's no symbol next to the amount you're charging as a cover fee (10,000). Normally, you would have something like $10. I don't know what currency is used where you live, so I'll let you fill that in.

Good evening everyone,

By the time you receive this e-mail, I imagine it will be evening for most of you. This e-mail is to inform you of a dinner meeting I am organizing at my place. A sumptuous dinner will be served, and we will be privileged to hear from an invited speaker who is a world-renowned expert in our field. This half-day event will take place September 15th from 3 p.m. until around 7 p.m. Those attending will have the rare opportunity to talk for a short time with the speaker after he finishes his address.

As you know, when flying a speaker of this caliber into the country, it is standard to cover the cost of airfare and comfortable hotel accommodations. In addition, an appropriate speaking fee is required. To cover the expenses associated with this event, I am obliged to charge a cover fee of 10,000 per person. This will provide for the cost of both dinner and the invited speaker. The same fee will apply to your spouse, if you choose to bring yours.

The following are recommendations for those wishing to attend:

1. Please dress in semi-formal attire.

2. Please arrive on time to help us run the event smoothly.

3. Please do not bring children. (If this is not possible, let me know as soon as possible, and I will arrange for suitable accommodations.)

For those interested in attending, please deposit 10,000 by September 1st via a bank transfer. After you have deposited the required sum, please send me an e-mail to confirm your transfer. Once I have your confirmation e-mail, I will send you more information.

I hope many of you will decide to attend.

Best wishes,

Thank you, GL2 for trimming somewhat highly conspicuous rough edges and making it look better.

If you don't mind, what is the difference because I see very little of it?

Hi Believer,

Consider these sentences:

"By the time you receive this, it will be an 10:00PM where you live." (Incorrect)

"By the time you receive this, it will be 10:00PM where you live." (Correct)

That might help clarify the difference, which is the same difference that exists between the two sentences you asked about. In English, we just don't say "an evening" in this context. The only context in which you would use 'an' or 'a' would be in sentences like these:

"You're invited to my house for an evening of socializing and entertainment."

"It was a long evening of negotiation and compromise."
