Are you asking for donations, or are you are ordering mats from a supplier? At the moment you have a mixture of both styles. "We need your urgent help" sounds like a charity appeal, while "Kindly arrange" sounds like a business transaction.

Actually we send this letter from our school to our Head of Incharge (He should arrange our requirements )
