I have just joined the forum and I would like to say that even before I join, I learned alot from all of you. You've helped me to improve my writing skills in many ways. However, being not a native speaker of English, I seek your help to help me correct this letter. Here it is:

Dear All,

Please be informed that starting from next Saturday, a group from our department will be handing over “Self Appraisal Forms” to all your staff members. This aims at evaluating staff training needs.



May you please ask your staff to help them by filling in the form and returning it back to them at the same time.



Your kind cooperation is highly appreciated.

(You mean starting from next Saturday, your department will keep handing out forms? You mean you don't distribute the forms all at once?)

Also: handing over (not hand over)“Self Appraisal Forms” to all your staff members.

How about: To evaluate the training needs of our staff, our department will...

Could you please ask your staff to fill in the form and return it back to them (back to?)at the same time.

Thanks for your reply. I meant to say that this procedure will start from Saturday and it will take 2 weeks till we reach all divisions.We will start one by one.

So the letter should be as follows?

Dear All,

To evaluate the training needs of our staff, our department will be handing over“Self Appraisal Forms” to all your staff members.

Could you please ask your staff to fill in the form and return it back to them?

Is it ok like this?
